Our clients always have an initial problem that they want solved. But after using the Laserfiche system, once that problem has been resolved, every company that we have sold this solution to, has broadened the scope of usage and used it in their other departments as well.

For example, one of our clients had frequent audits and was constantly losing their A/P backup. The client used the Laserfiche system to solve that problem and since, have also used the system in their A/R department, contracting department and in human resources.

As an electronic filing system - our document imaging solution allows users to quickly and securely access documents from a desktop - with a few clicks of your mouse.

Start with your Accounts Payable department - scan in your check packages and our system will automatically file each check by check number, check date, payee and amount - with the appropriate backup attached.

Within the A/P database, users can then sort by either payee, check date, or check number with a click of your mouse - to quickly access the check & the attached backup.

One of our Laserfiche clients bought a competitor's complex feature-rich document imaging solution - for $50,000. It was so complex that the clerks could not use it. They ended up throwing away that solution and purchasing the Laserfiche Solution. With one day's training, they were up and running!

Case Study

inSync's engineers recently configured & installed a workflow solution for our client, a national food distributor. The project was to setup workflow for the Accounts Payable department. The client has four remote locations-nation-wide. The remote locations have their A/P invoices centrally processed at the corporate business offices located in Anaheim, California.

The problem: The remote locations assembled all of their A/P invoices & supporting documentation, and then mailed the documents to the corporate headquarters.  It took 4 to 5 days to assemble, and then mail, the documents.  At the corporate headquarters, once the packets are received, the documents are bar coded based on the type of document, reviewed & approved by the appropriate person. The checks are then cut and assembled for signature.

The process was cumbersome and paper intensive - and documents were being lost in the shuffle. The A/P department was processing approximately 400 checks per week.

The Laserfiche Workflow process: The remote locations now barcode the various documents (vendor, invoice number, date & amount), and scan the documents into a folder which stores the documents into the Laserfiche database.  

The Laserfiche solution then automatically processes the paperwork by putting the documents into their appropriate folder i.e. PO, shipping & receiving documents, invoices. The documents are then forwarded into the appropriate person’s folder for approval.  Once electronically approved, the document automatically gets forwarded to the A/P processor, where they cut the checks.

The checks are then scanned into the Laserfiche database where they are automatically linked to the appropriate backup.

The A/P clerk brings the checks only, without the associated backup, to the owner for signature.  He enters the check number into his system and it pulls up all of the associated documents for that check which includes the invoice(s), PO and shipping documents, in that order, for him to verify. He then signs the checks. Their next project: Accounts Receivable.
